THE POSITION
LOCATION: PALU, CENTRAL SULAWESI 
 
 
Job Summary:
The Finance and Admin Officer will be part of the Palu Emergency Response team (based in Palu) for 2 months supporting the emergency response to ensure efficient and effective operation and financial accountability of the program. She/he will return back to Kopernik HQ for 4 months (based in Ubud, Gianyar). Under supervision of Associate Finance Director and in close coordination with the Emergency Program Manager, the main purpose of the job is to ensure the finance needs of the operation are met in a timely fashion and in compliance with the applicable organizational SOPs, policies and procedures.

Responsibilities:

FINANCE
  • Perform financial verification and ensuring compliance to donor’s regulation for ER Palu project
  • Process payments for ER Palu project based the approved payment request.
  • Financial data processing by applying accounting principles in data entries to Quickbooks for Yayasan Kopernik ER Palu project and Kopernik Solutions. This includes: providing financial analysis and statement as requested by line manager and/or other Kopernik staff;
  • Ensure incoming funds for crowdfunding and donors are recorded well and in timely basis for Kopernik Solutions;
  • Provide support for the preparation of payment documentation for Yayasan Kopernik ER Palu project and Kopernik Solutions;
  • Process the preparation of payment transaction for Kopernik Solutions, this includes the banking transaction.
  • Ensure adequate filling system is maintained well for Yayasan Kopernik ER Palu project and Kopernik Solutions;
  • Assist in annual external financial auditing processes for Yayasan Kopernik and Kopernik Solutions.


ADMIN/PROCUREMENT
  • Providing a full support to accommodate the flight ticket request from project staff ER Palu. This includes: monitor the order of flight ticket, ensuring the compliance to Kopernik procedures and standardized template used, provide clarity for both the travel agent and traveler, manage flight ticket cancellation/reschedule and refund, confirmation for issuing the flight ticket, manage payment request for flight ticket and it supporting document, provide training to staff on flight ticket arrangement.
  • Work closely with Procurement Officer in providing support for procurement activities and documentation.

OTHERS
  • Working closely with ER Palu Program Manager;
  • Any other relevant tasks assigned by the line manager and as demanded by ER Palu project team

Skills and behaviors:
  • Advanced accounting knowledge;
  • Basic knowledge of Indonesian Taxation;
  • Fast learner with ability to work well under stress

Requirements:
  • Minimum Diploma III or more preferable Bachelor Degree in finance or accounting with a minimum of 3 years of experience performing similar duties as Finance Officer or Accountant;
  • Working experience in audit firm (registered public accountant), local NGO or international donor-funded project in Indonesia is a must;
  • Experience with GAAP and not-for-profit accounting principles, practices and regulations;
  • Experience working with computer and information management systems, Excel spreadsheets and databases for financial analysis, accounting system, and/or financial reports
  • Hard working and attention to detail is essential;
  • Excellent organizational, communication, and interpersonal skills;
  • Fluency in Bahasa Indonesia and proficiency in written and oral English required;
